The Overview
TZL Marketing was using a VB .Net–based desktop application that suffered from several core issues affecting its operations. The system did not support financial year closing, forcing manual interventions and increasing the risk of errors. Stock reports detailing quantity in cartons and units were completely absent, making inventory monitoring difficult. Closing stock costing, especially using average cost methods, often differed from actual figures due to frequent large purchases, creating discrepancies in financial reporting. Being a desktop-based application, it could not run live or support multi-user real-time access, limiting operational efficiency. Along with many other gaps, these issues hindered accurate decision-making, slowed workflows, and increased dependency on manual processes for critical financial and inventory management tasks.
The Challenge
Designing a new application for TZL Marketing faced several challenges. Creating new profile data was complex due to changes in the database schema. Developing stock reports that accurately reflected quantities in cartons and units required careful calculation and validation. Resolving discrepancies in closing stock costing demanded precise logic to match actuals with averages. Managing post-dated cheques also posed difficulties, as the system needed to track due dates, payments, and clearances without errors.
The Solution
To resolve these challenges, the application was designed with a carefully restructured data model that aligned new profile requirements with the updated database schema. Stock management logic was rebuilt to handle dual-unit tracking, allowing quantities to be calculated accurately in both cartons and individual units. Closing stock costing issues were addressed by implementing clear valuation rules with automated reconciliation between average costing and actual stock movement. A dedicated post-dated cheque (PDC) management workflow was introduced to track due dates, settlements, and clearances in a controlled, error-free manner.
